A. Introduction & purpose

The HRFORCE Help Center is designed to help businesses and recruiters operate the system efficiently and automate key steps in the recruitment process. Here, you can find step-by-step guides, instructions for handling common scenarios, and receive timely technical support.

B. Main support categories

1. Getting started with HRFORCE

1.1 Registering and activating a company account

  • Visit the HRFORCE homepage and click “Register”.
  • Enter basic information: company name, contact email, and the person in charge.
  • Verify your email address and wait for business validation. 

1.2 Configure the company profile and HR personnel information

1.2.1 Updating company information
  • Go to Company → Company Information.
  • Upload logo and update company name, address, contact email, and other basic details.
  • Click Save changes to complete.

1.3 Configuring and managing HR team members

  • Go to Company → Team Management.
  • Add or edit HR members and assign roles (Admin, Recruiter, HR Manager, etc.).
  • Assign responsible teams per job opening or department.

1.4 Interface overview & navigation

  • Navigation bar modules include: Candidates, Automation, Team Management, Hiring Pipeline.

2. Candidate management

2.1 Importing and updating candidate profiles (.docx, .pdf, or image)

2.1.1 Import candidate data
  • Go to Candidates → Add New.
  • Enter candidate details (name, email, phone, job tag, location).
  • Upload CV in docx, pdf or image.

2.2 Tracking candidate status across interview stages

  • Each candidate displays a status (New, Interviewing, Hired, Rejected, etc.).
  • HRFORCE automatically updates status upon stage changes or new evaluations.

3. Interview & evaluation process

3.1 Scheduling interviews (Google Calendar / Meet integration)

  • Select candidate, set interview time, assign interviewer, choose format (in-person or Google Meet).
  • Note: Once created, interview events cannot be edited — they must be deleted and recreated.

3.2 Sending notifications and interview invitations

  • HRFORCE automatically sends interview invitation emails to candidates.

3.3 Managing evaluations & feedback

  • After interviewing, Interviewers record notes and ratings directly in the candidate profile.
  • All evaluations are saved to support final hiring decisions.

4. Automation & integrations

4.1 Configuring automation rules (emails, status updates)

  • Send result notification emails . -> using the automation flow (the company must pre-configure the email in the automation flow before use).
  • Status updates follow the default hiring flow — update status by moving candidates through the pipeline.

4.2 Google Calendar & Calendly integration in order to synchronize data

  • Integrate with external systems — connect Google Calendar and Calendly.
  • Two-way sync with Calendly in Team Management ensures consistency with Calendly organization.

4.3 Managing notifications & hiring details

  • Review all automated activities in Hiring Detail.
  • Easily adjust when processes change.

5. Account & security

  • Updating user information & password.
  • Go to Account → User Profile to update contact details and change password when needed.

6. Access control & role-based permissions

  • In Company → Team Management, administrators can add, remove, or assign roles to user accounts (e.g. Recruiter, Admin, HR Manager) to maintain proper access control within the organization.

7. Frequently asked questions (FAQ)

7.1 How can I upload multiple CVs at once?

Answer: 

“The system does not currently support uploading multiple CVs at once. However, recruiters can still manually add candidates one by one by going to Candidates → Add New → Upload CV.

The system supports PDF, DOCX, and image formats, and will automatically extract and classify candidate information after the upload.”.

7.2 What happens if a candidate is duplicated?

Answer:

“When the system detects a duplicate candidate, a notification will appear so you can review and handle it easily.

Specifically:

  • If the candidate already exists in the list (e.g. added under Job A), when you add that same candidate to another job (Job B), the system will notify you that a candidate with this email already exists. You may choose to keep the existing record or create a new one if you wish to separate them.
  • If the candidate has previously applied to the same job, the system will also notify you that this candidate has already applied before, helping you avoid creating duplicate entries.”

7.3 Can I export the candidate list to Excel?

Answer

Exporting to Excel is not supported. Please check your filters or refresh the page.

7.4 Does the system store interview and evaluation history?

Answer:

Yes.

Each candidate has a detailed profile that stores the full interview history, interviewers, results of each stage, and evaluation notes.

 Recruiters can review this information at any time to track hiring progress and support decision-making.
